Fleet Sales Order Specialist

Polestar is expanding rapidly in Belgium and at the moment we have an exciting opportunity for a new position as Fleet Sales Order Specialist to complete our Operations & Business Development Team. Your key responsibility will be to process incoming orders from new and existing fleet or B2B customers. You will be in close contact with the Sales Admin Team internally in order to ensure orders are processed efficiently and effectively. You will also be in close contact with the leasing companies and our externally located order processing team in the UK to ensure timely and correct order processing.

This is an opportunity to be part of the exciting Polestar journey and be able to form and shape our business success whilst transforming the whole industry. The role will be based in Luxembourg and reports to the Head of Operations & Business Development of Polestar in Belgium & Luxembourg.

 

What you´ll do

Your key responsibilities will be to:

  • Lead daily processing (i.e., review, validation and approval) of new incoming fleet orders
  • Coordination and follow-up of orders with the leasing companies, B2B customers and order processing team
  • Establish and analyse internal reports (e.g., First Time Right reporting)
  • Organize internal coordination and alignment meetings
  • Assess and improve ordering processes for fleet and business orders
  • Work closely with Polestar Belgium & HQ colleagues and departments to ensure Fleet & Business requirements are considered in system and process improvement planning
  • Onboarding and continuous training of leasing companies
  • Be the point of contact for Leasing Companies and Polestar Handover Centres for enquiries regarding the status of orders
  • Work closely with the Planning, Ordering and Delivery Specialist and ensure continuous support of the sales team in terms of order processing

 

Who you are

To be successful in this role we expect following elements:

  • A university degree or equivalent through experience
  • Experience in Sales operations is a plus
  • Strong administrative skills
  • Analytical mindset
  • Work independently and proactively, always thinking a few steps ahead
  • Switch between different stakeholders and keep an overview
  • Stress resistant and the ability to thrive in a start-up environment
  • Consistent priority setting
  • Experience in automotive business and fleet management is a plus
  • Excellent level of spoken and written Dutch and/or French
  • Professional level of spoken and written English
  • Good communication skills
  • Belgium-based
  • Strong Knowledge of CRM (SalesForce) is a plus
  • Strong knowledge of Excel & PowerPoint
  • Working knowledge of the leasing sector and fleet industry in Belgium, with special focus on the ordering process is also a plus:
    • Understanding Renta solutions (ORD)
    • Knowledge of process flows between customer, leasing companies and fleet management companies
  • Excellent level of spoken and written Dutch & French
