Let us describe the challenge we offer

The Polestar Operations & Finance Administrator will be a professional with experience from sales administration, operations and finance preferably from the automotive industry. The Operations & Finance Administrator will manage financial processes linked to the Sales activities of the entity and will secure that all administrative tasks and processes related to sales and finance are completed in a timely and complete manner. Additionally, you will monitor and follow-up the day-to-day operational performance of our investors and partners.

In this role you will be able to contribute to the correct implementation of a new direct to consumer business model that is unique in the automotive industry. This role will be based in Brussels and you will report to the Head of Operations & Business Development. You will furthermore act as a close contact with the Local Business Controller.


What you´ll do

Main responsibilities:

  • Sales Finance Administration, including:
    • sending PtP invoices
    • vendor creation
    • procurement (PO creation and follow-up, goods receipt creation, etc.)
  • Verifying, updating and approving customer’s financing applications (e.g., loan agreements, financial leasing, financial renting from various financial service providers
  • Implementing and streamlining of financial processes
  • Coordinating payments and refunds to customers, and follow up with Global Finance Hub, the Company HQ and Customer Care Center
  • Monitoring the car sales contract status in the system. Secure a countersign within 24 hours once a new sales contract is sent by the customer
  • Coordinating all payments to Handover Partners, Service Partners and Retail Space Investors
  • Updating of partner remunerations in local systems
  • Troubleshooting and identifying the root cause of IT issues related to our existing processes
  • Monitoring the users’ audit of digital tools
  • Steering of the operational excellence of our strategic partners (White label, Investors, Charging, …)
  • Reporting of relevant SalesForce data
  • Strong knowledge of Excel, PowerPoint & Salesforce is a plus
  • Updating of local legal Terms & Conditions
  • HR Admin Support and Office Management


Who you are

You are a team player with experience from the finance area or sales planning and vehicle distribution field. You can handle multiple tasks, maintain focus and adapt easily to changing business needs. You’ll also have a true hands-on-attitude and you make things happen.

Further on we believe you:

  • Have a bachelor degree in Business Administration, or equivalent
  • Min 3 years of experience, automotive experience is seen as a strong plus
  • Problem solving - entrepreneurial attitude, a strong sense of organization, time and resource management
  • Demonstrated analytical skills and data driven approach to business
  • Good understanding of automotive finance related processes is a plus
  • Have relevant experience in automotive company, retail bank or leasing company is a plus
  • Have excellent written and verbal French, Dutch and English skills
